Overview:

VPI is leader in commercial vinyl windows in North America and provides industry leading performance in the multi-family housing market.  The service team plays a critical role in VPI’s value proposition and is recognized for having the most technical and responsive service teams in the industry.  High performing products coupled with a strong sales & service teams have fueled our organization’s rapid growth across North America.

The Service Coordinator\Warranty Specialist is the primary point of contact between the customer and operations for all service activities.  The Service Coordinator\Warranty Specialist is required to communicate directly with our customers to ensure each claim is resolved in a timely, professional and satisfactory manner.

 

Essential Duties and Responsibilities include the following, although other duties may be assigned: 

  • Acknowledge receipt of all claims received by phone, fax and email upon receipt
  • Initiate and maintain service records for all qualifying incidents within our ERP system
  • Create Service Reports (SR's) and chargeable part orders
  • Maintain and create field service schedules and communicate with the customer as well as our Field Service Technicians
  • Create and provide quotes to customers for chargeable services
  • Troubleshoot and advise customers on service claims and/or product information.
  • Maintain frequent communication with customers concerning the progress of their claim
  • Ensure a timely and satisfactory resolution for all incidents of customer dissatisfaction
  • Maintain a thorough understanding of all warranties past and present
  • Develop and maintain resources necessary for identifying and ordering obsolete parts
  • Familiarize oneself with past and current manufacturing techniques

 

Qualifications: In order to perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements list below are representative of the knowledge, skill, and/or ability required. 

  • 2 - 3 years related experience and/or training
  • Advanced skill in Microsoft Office applications
  • Ability to handle escalated customer service situations
  • Ability to manage escalations and resolve problems in a timely manner
  • Passionate about providing an exceptional customer experience
  • Ability to quickly learn new software, systems, processes and our products
  • Strong communication skill (verbal and written)
  • ERP systems experience a plus
  • 1 - 2 years Customer Service experience with manufacturing products
