This is a remote role that is performed in Estonia.
Your role
The HR shared service team at JELD-WEN is responsible for the day-to-day management of our human resource employee and manager support experience. JELD-WEN is looking for an HR Shared Service Specialist who will be responsible for responding to HR inquiries and processing transactions in SAP SuccessFactors for employee and manager data changes initiated through support requests generated in our ServiceNow ticking system, as well as voice and chat functions.
RESPONSIBILITIES:
- Responsible for day-to-day support via HR Service Center for key HR processes, policies, and HR systems (SAP SuccessFactors and ServiceNow) for employees and other key company stakeholders.
- Responds to and works with appropriate support teams, to resolve inquiries received through calls, tickets or chat submitted to HR Service Center.
- Manages data compliantly with primary focus on data integrity, delivering efficient and timely responses.
- Coordinates onboarding activities for new hires.
- Maintains the accuracy and security of all HR-related files in accordance with statutory requirements and record retention policies.
- Processes leave management cases, focusing on statutory requirements, providing updates to internal and external resources where appropriate.
- Provides support to HRBP’s as it relates to day-to-day HR support as needed.
- Maintains accuracy of shared files and databases.
- Ensures timely and accurate processing of HR related forms or inquiries; researches and furnishes employee information to authorized persons as appropriate; handles HR-related questions.
- Ensures employee data is coded accurately in the system, i.e., job classification, shift assignments, etc.
- Provides superior customer service daily to internal and external customers.
- Prioritizes multiple projects in a time sensitive manner.
- Other duties as assigned to support HR Community in providing services to employees and to deliver to the needs of the business.
What you'll need to succeed
- 1-3 years of experience in HR administration and knowledge of statutory requirements
- Experience with HR systems and ticket management systems
- Excellent communication skills, both verbal and written
- Strong organizational and time management skills
- Proficiency in Microsoft Office (Teams, Word, Excel, PowerPoint, Outlook)
- Ability to work both independently, within a team, and with individuals from diverse backgrounds
- Ability to prioritize and handle multiple assignments in a fast-paced environment
- Ability to self-manage key deliverables and deadlines
- Ability to handle confidential information with discretion
- Multilingual capabilities (English, Estonian and Russian as primary language, with French/German as additional language on a very good level)
