Position Summary

The Spare Parts Associate is responsible for supporting the Maintenance Parts Room by assisting with inventory control, receiving, storage, distribution, tool control, and organization of maintenance spare parts, consumables, and critical materials. This position serves as a key bridge between inventory and maintenance technicians by ensuring needed parts, materials, and specialty tools are available, properly controlled, and accurately recorded to support equipment reliability and minimize production downtime.

This role works closely with the Spare Parts Clerk, maintenance technicians, supervisors, production personnel, and vendors to maintain accurate inventory records, support receiving and issuing activities, organize warehouse locations, and improve overall parts room service levels.

Role Purpose: Support Kathia and the Maintenance Parts Room by improving inventory accuracy, speeding up part availability, controlling tools, and keeping the parts room organized, safe, and ready to support maintenance execution.

 

Responsibilities and Duties

Inventory and Warehouse Management

  • Sort, label, organize, and store spare parts in designated shelves, bins, cabinets, and storage areas.
  • Maintain accurate part identification, labeling, and location control to support fast retrieval by maintenance personnel.
  • Assist with cycle counts, physical inventory reviews, and inventory accuracy audits.
  • Update stock movements, inventory adjustments, and part activity in the applicable warehouse or inventory management system.
  • Communicate low-stock, understocked, damaged, obsolete, or critical spare part concerns to the Spare Parts Clerk or Maintenance Manager.

Receiving and Material Processing

  • Physically receive incoming maintenance parts, tools, supplies, and related materials.
  • Verify quantities, part numbers, descriptions, and condition against purchase orders, packing slips, and other receiving documentation.
  • Identify and report shipping discrepancies, shortages, overages, incorrect parts, or damaged materials.
  • Label and store received materials in their assigned locations after verification.
  • Maintain organized receiving documentation and support recordkeeping requirements.

Parts Distribution and Technician Support

  • Issue spare parts, consumables, and maintenance supplies requested by mechanics, service technicians, production personnel, or authorized plant employees.
  • Record all issued parts, withdrawals, and material movement accurately in the system.
  • Assist technicians in locating required parts and materials to support maintenance work order completion.
  • Return unused parts to inventory, verify condition, and ensure stock balances and locations are updated properly.
  • Support fast and seamless workflow between the parts room and maintenance execution teams.

Parts Identification

  • Assist with identifying replacement parts by using equipment manuals, parts diagrams, catalogs, vendor resources, part numbers, and used part samples.
  • Support technicians in determining the correct replacement part needed for maintenance repairs.
  • Help improve cataloging, labeling, description accuracy, and standardization of parts room inventory.

Tool Control

  • Issue, receive, and track specialty tools requested by maintenance technicians.
  • Maintain strict control of special tools, loaned tools, and shared maintenance assets.
  • Verify tools are returned, properly stored, and available for future use.
  • Assist with tool inventory reviews and accountability processes.

Warehouse, Parts Room, and Workshop Support

  • Maintain a clean, organized, and safe parts room, storage area, and work area.
  • Support 5S, housekeeping, labeling, and organization standards within the Maintenance Parts Room.
  • Keep aisles, shelves, bins, and work areas free of unnecessary clutter and hazards.
  • Dispose of packaging materials and support removal or segregation of obsolete inventory as directed.
  • Assist with parts room improvement projects, Kaizen activities, TPM support, and other continuous improvement efforts.

Safety and Compliance

  • Follow JELD-WEN safety policies, plant rules, PPE requirements, and applicable OSHA requirements.
  • Use safe lifting, material handling, and powered industrial truck practices when applicable.
  • Report unsafe conditions, damaged parts, near misses, or safety concerns immediately.
  • Support compliance with site standards for housekeeping, chemical handling, LOTO awareness, and maintenance safety expectations.

Team Support

  • Work collaboratively with the Spare Parts Clerk, Maintenance Technicians, Supervisors, Production, Purchasing, and other plant personnel.
  • Provide support during shutdowns, outages, inventory projects, and maintenance initiatives as assigned.
  • Perform other duties as assigned to support maintenance operations and plant reliability.

Knowledge, Skills, and Abilities

  • Strong organizational skills and attention to detail.
  • Ability to accurately track, document, and communicate inventory transactions.
  • Basic computer proficiency, including Microsoft Outlook, Excel, and inventory or warehouse systems.
  • Ability to learn maintenance inventory software, ERP systems, CMMS/L2L-related processes, and plant documentation practices.
  • Ability to read and interpret basic parts catalogs, equipment manuals, vendor documentation, and diagrams.
  • Effective verbal and written communication skills.
  • Ability to prioritize multiple tasks in a fast-paced manufacturing environment.
  • Ability to work independently and as part of a team.
  • Commitment to safety, housekeeping, inventory accuracy, and continuous improvement.

Education and Experience

Required

Preferred

  • High School Diploma or GED.
  • Basic computer skills.
  • Ability to perform inventory, warehouse, and material handling tasks.
  • Ability to work safely in a manufacturing and maintenance environment.
  • Previous experience in inventory control, warehouse operations, maintenance storeroom operations, manufacturing, or purchasing support.
  • Experience using inventory management systems, ERP systems, CMMS, L2L, or maintenance software.
  • Forklift or powered industrial truck experience.
  • Basic mechanical aptitude or familiarity with industrial maintenance parts.

Physical Requirements

  • Frequently stand, walk, bend, reach, kneel, and perform material handling activities throughout the shift.
  • Lift, carry, push, and pull materials weighing up to 50 pounds.
  • Access shelves, bins, storage locations, receiving areas, and production or maintenance work areas as needed.
  • Safely operate material handling equipment when trained and authorized.

Work Environment

This position operates within a manufacturing facility, maintenance shop, warehouse, receiving area, and parts storage environment. Exposure to moving equipment, powered industrial trucks, noise, dust, and varying temperatures may occur. Required PPE must be worn in designated areas at all times.
