Positions: Accounts Payable Assistant
The accounts payable assistant is responsible for supporting the office work with various administrative responsibilities. This position will ensure the proper timing and handling of company invoices and proper record keeping.
Responsibilities and Duties

Checks daily mail, distributes, and manages outgoing mail to ensure the correct process.

EOM Activities – in transit and incoming freight verification.
-
Receives, research and resolves a variety of routine internal and external inquiries concerning account status, including communicating the resolution of discrepancies to appropriate departments and managers.

Submit request for new vendor.
-
Contact vendors for missing or discrepancies on invoices.

Present SQDCIL Board to Group Managers

Double check POs on tracker are closed. Move to closed tab.
-
RGA Report Full out RGA Form and print pictures.
-
Scan packing slips and invoices.
-
Fax pricing
-
Match statements to invoices. Match packing slips to invoices and check pricing.
-
Reconcile various accounts by identifying errors in posting or omissions by applying proper accounting standards.

Manually index items in Doc Link, including those that barcode failed.

Collaborates with internal AP, vendors, and manufacturing teams to solve invoice discrepancies.

Responsible for timely review and processing payment of plant payables (bills for non-vendor invoices, tax, water, utilities, industrial park association, etc.

Support plant management with operational reporting.

Pre-invoice shipping orders
-
Participate in physical inventory responsibilities.
-
Other duties as assigned.
Knowledge, Skills, Abilities

Must have the ability to read and understand basic verbal and written instructions, and read and interpret drawings, blueprints, sketches, instructions, and specifications.

Must be willing to accept and receive frequent training, supervision, and assistance from positions and supervisory personnel.

Strong organizational skills

Must have excellent communication skills and be able to communicate with many levels of personnel effectively and tactfully in various situations and environments.

Have reliable transportation and be punctual and dependable for each assigned shift.

Must be able to work overtime as needed.

Must be able to pass a pre-employment, and drug screen.
Education and Experience
-
High School Diploma, associate degree in accounting preferred.
-
One (1) year of Administrative Assistant experience is preferred.
-
Must be proficient in Microsoft Office Suite products with advanced Excel skills.

SharePoint & Salesforce experience preferred.

Strong attention to detail and problem-solving skills.
-
Previous experience in manufacturing or warehouse environment
