Summary:
The Office Support position will work directly with the facility staff, including the operations team to ensure accurate and complete office records in the areas of payables, payroll, inventory control and invoicing. It will also work directly with the Plant Manager on reports for both the facility and corporate.

Education/Experience:

  • High school diploma or general education degree (GED);
  • Associates degree preferred.
  • Minimum of two (2) years customer service experience;
  • Preferred two (2) to four (4) years’ in Office Administration
  • Demonstrated knowledge of Accounts Receivable
  • Demonstrated knowledge of Accounts Payable
  • Demonstrated knowledge of Logistics
  • Excellent Excel skills
    Supervisory Responsibilities: This job has no supervisory responsibilities.
     

Job Duties & Responsibilities:

Accounts Payable/Receivable:

  • Review and approve invoices; collect and match up all purchase orders, packing lists, bills of lading and invoices to submit to Corp for processing
  • Vendor setup; enter information, purchase conditions, account codes and information per accounting procedures and guidelines
  • Inter-company credits: enter claim/credit information as directed by Plant Manager
  • Accrual of receipts not processed and maintain monthly reporting

Production/Inventory:

  • Be familiar with all site reporting procedures, shipping arrangements, and shift reports in order to collect and report data accurately
  • Ensure that managers are aware of office reporting needs and timelines.  Monitor and note deficiencies to appropriate manager(s)
  • Enter/monitor production, waste, and shipping data in an accurate and effective manner
  • Supply weekly, monthly, quarterly, and yearly information and reports as requested
  • Participate in inventory as directed
  • Extra time will be required beyond normal office hours including but limited to special accounting deadlines, month/year end and inventories

Shipping/Logistics:

  • Schedule freight carriers for facility to meet requested customer delivery dates.
  • Process load requests for shipping & assigning to various brokers.  (Email shipping schedule to appropriate management)
  • Ensure that shipping, invoicing, and credit/claim information is sent to customers in a timely and professional manner

Other Duties:

  • Greet vendors/visitors; answer/transfer incoming calls
  • File management
  • Perform data entry and other clerical functions
  • Serve as a back-up for HR, Payroll, and recording Production
  • Other duties as assigned by the Plant Manager 

Safety:

  • Follow JELD-WEN policies and procedures
  • Commit no unsafe acts; observe safety and security procedures; report potentially unsafe conditions; use equipment and materials properly and appropriately
  • Comply with all OSHA safety standards as a minimum requirement
