This position is responsible for providing administrative support to the Human Resources and Plant Management team efficiently and effectively while providing exceptional customer service skills.                                                                                                                                               





  • Efficiently communicate with all employees regarding aspects and questions of payroll and benefits responsibilities.



  • Communicate closely with Plant Manager regarding data needs, communication of, and training needs for assigned areas.



  • Ensure accurate and complete office records in the areas of payables, payroll, employee benefits, inventory control, and invoicing.



  • Communicate closely with Production Managers to identify departmental reporting and data entry deficiencies as well as any other assigned reporting task.



  • Ensure accurate and complete reports to the Plant Manager and Corporate departments.

Receptionist Duties:



  • Always represent the company in a professional manner. 



  • Answer phone lines, transfer calls, and e-mail missed phone call messages as needed.



  • Greet vendors, customers, and other guests.  Follow visitor policy procedures.



  • When taking applications, administer applications, and preemployment testing as directed.

 Accounts Payable:



  • Collect and match-up all purchase orders, packing lists, bills of lading, and invoices.



  • Enter information, purchase conditions, account codes, and information  per Accounting procedures and guidelines.



  • Insure that all permissions are gathered from departmental personnel and Plant Manager prior to processing.



  • Process and deliver accounts payable invoices and support information as directed by Accounting procedures.

 Production, Invoicing, and Inventory: 



  • Be familiar with all site reporting procedures, shipping arrangements, and shift reports in order to collect and report data accurately. 



  • Enter/monitor production, waste, and shipping data in an accurate and effective manner.



  • Insure that shipping, invoicing, and credit/claim information is sent to customers in a timely and professional manner.



  • Enter claim/credit information as directed by Plant Manager.



  • Supply weekly, monthly, quarterly, and yearly information and reports as requested.



  • Keep all associated paper and electronic files in a neat and orderly system.



  • Participate in inventories as directed.

 Payroll and Benefits:



  • Familiar with all site reporting procedures and shift reports to collect and report data accurately. 



  • Enter/monitor payroll data in an accurate and effective manner.



  • Collect, enter, and supply all payroll and employee benefits information as directed by respective corporate department. 



  • Supply weekly, monthly, quarterly, and yearly information and reports as requested.



  • Keep all associated paper and electronic files in a neat and orderly system.



  • Ultimately, responsible for the accuracy of assigned data and reports to corporate departments and the Plant Manager.



  • Extra time will be required beyond normal office hours including but limited to special accounting deadlines and inventories.



  • Maintain an organized and professional work area.



  • Manage and abide by all company policies and procedures. 



  • Participate in and follow all safety training and guidelines as directed by Plant Manager.



  • All other assigned responsibilities by the Plant Manager.



  • Must have a High School Diploma or equivalent. An Associate's Degree is preferred.
  • 1 year of Administrative Assistant experience is preferred.
  • Must be proficient in Microsoft Office Suite products with advanced Excel skills. SharePoint experience preferred.
  • Strong organizational skills.
  • Clear and concise communication with the ability to communicate with people of varying backgrounds and positions.
  • Experience using general office equipment.
  • Strong typing and computer use skills.
  • Good customer service skills with the ability to handle stressful situations.
  • Ability to handle confidential information including customer and employee information.
