The Talent Management Coordinator, Global Talent Management, contributes to the overall success of the team through administrative and project management support for the Vice President, Talent Management and the Director of Global Talent Development.

 

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:

Global and NA Talent Development Team Coordination 

Core member of the Talent Development Team working with the Early Career Program Office staff and Director of Talent Development on additional global and NA programs

  • Leadership Program HRIS reporting – Own the records for Leadership Development Program participants in HR Reporting system. Responsibilities include record changes with relocations, managing reviews and approving expenses
  • Leadership Program Travel arrangements – work collaboratively with internal travel leads and program participants to arrange travel, housing and logistics two months before each rotation
  • Leadership Program Internal Meeting arrangements - including scheduling with internal presenters, participants, books rooms, prepares handouts, orders and manages food or offsite location booking
  • Maintains financial responsibilities for leadership programs including but not limited to submit invoices, track payments, send accrual info to finance partners, resolve payment issues
  • Creates and owns annual Orientation calendar (in partnership with Payroll, Communications, Learning) and creates Outlook invites via Talent Mgmt box

 

Additional Responsiblilities as needed

  • Plans logistics for key Global Talent Management meetings including calendaring, virtual technology, pre and post communications
  • Select work in creation of team presentations, and confidential files for Executive and Board meetings
  • Responsible for budget tracking and analysis
  • Collaborate with other Assistances and Executive Assistants to the Sr Leadership Team in planning of meetings
  • Manges VP calendar, travel and expense reports  

 

Required:

  • Minimum of 2 years’ experience in an Assistant or Coordinator position
  • Able to work independently with limited supervision and able to self-motivate
  • Ability to make decisions in accordance with established policies and procedures
  • Ability manage and prioritize multiple tasks
  • Experience handling confidential information
  • Demonstrated expertise in Microsoft suite of tools – Teams, Excel, Powerpoint, Word
